Privacy policy

This policy describes how Wolf Moon handles information when you use Proposal Wolf. It is a working draft for the Stage A marketing site and the staff app behind Log in.

Who we are

Proposal Wolf is published by Wolf Moon. Contact: hello@proposalwolf.com.

What we collect

Staff accounts: name, email, and a password hash. Agency records: the brand settings and team members an admin saves. Proposal records: the quote details, client contact fields, and activity (sent, viewed, questions, accepted). When an agency uploads a carrier quote PDF, that file is stored against the proposal. Server logs that keep the product running.

The waitlist

The waitlist form collects a work email and, if you type one, your name. We use them to tell you when billing opens and to address you by name when we do. We do not sell the list, we do not share it with carriers, and joining asks nothing of you in return. Ask us to remove your address at any time and we will.

The support chat

The chat is answered by an AI, and a person reads anything it hands off. What you type, what it replies, and the page you were on are stored so a person can pick the conversation up. If you ask for a human we also keep the reply address you give us. Do not paste a client's details into it. Transcripts are deleted 90 days after the conversation, the same schedule as carrier quote files.

What we do not collect on the marketing site

Marketing pages do not set tracking cookies. Page analytics are aggregate counts, not profiles. Apart from the waitlist form, no page on this site asks a visitor for personal information.

How we use it

To operate the product: authenticate staff, render proposals, send the client link and PDF, and show an agency its own pipeline. Optional PDF import sends the uploaded file to the model provider so fields can pre-fill; unknown fields come back blank. The same file is stored on the proposal. It is re-served to a client only when the agency turns that on for that proposal; the default is off. We do not sell proposal data and we do not share it with carriers.

Client links

A person who opens a proposal link can read that proposal. If the agency attached the carrier quote and turned on client download, the same link can also download that file. View and accept events are stored on that proposal so the agency can follow up.

Retention

Carrier quote files are deleted 90 days after they are stored, or sooner if the agency removes them. Chat transcripts are deleted 90 days after the conversation. Account and other proposal records stay until the agency or a Wolf Moon owner deletes them, or until a later retention schedule is published here.

Your choices

Staff can update their email through an agency admin. Agency admins control brand settings and team accounts. To ask about a record, email hello@proposalwolf.com.

We will date updates at the top of this page. Counsel sign-off will replace this draft.
